AI Features (Ari)
Arrangr offers an AI-powered scheduling assistant called Ari. Ari lets you create 1:1 meetings, scheduling polls, and group events by describing what you want in plain language. To make this work, Ari processes your input using third-party large language model providers, and — if you opt in — Arrangr's team may also review your prompts to help us improve the assistant.
This section explains what data Ari uses, who sees it, and how long it's kept.
What Ari Processes
When you interact with Ari, your message is sent to a third-party large language model provider along with context that helps Ari understand your request. That context may include things like your timezone, your selected calendar's busy/free information, contacts you've previously scheduled with, your booking preferences, your active organization, and information about the meeting you're trying to set up. Ari only uses this information to interpret and execute the action you've requested.
Currently, Arrangr uses Google's Gemini models via Google Cloud's paid API tier as our primary AI provider. We may add or change AI providers over time as the technology evolves; in all cases we use providers' paid API tiers under terms that prohibit using your prompts to train their models.
How Third-Party AI Providers Handle Your Data
When Arrangr sends your prompt and context to an AI provider, that provider processes the request and returns a response. Under our paid API agreements with these providers:
- Your prompts and our context data are not used to train the provider's AI models.
- Providers may briefly retain prompts (typically up to 30 days) for abuse monitoring and operational purposes, after which they are deleted.
- Providers do not perform human review of prompts unless content is flagged for trust-and-safety violations under their terms of service.
The exact terms vary by provider; the providers' own privacy policies govern their handling of the data they receive from us.
Optional: Prompt Review by Arrangr's Team
Separately from how AI providers handle your data, you can choose to allow Arrangr's team to review your Ari prompts so we can find where Ari is missing the mark and make it better. This is off by default. You're asked once when you first open Ari, and you can change your decision at any time from Ari's settings.
You can use Ari fully whether you opt in to prompt review or not.
When you opt in, we store the following for each Ari interaction:
- Your input text (what you typed or said to Ari)
- The action Ari took on your behalf (for example, "create a poll" or "set up a meeting")
- The structured details of that action (for example, the meeting length and proposed times)
- A short summary of Ari's response
We do not store full conversation history beyond the active session. We do not sell, share, or transfer this prompt review data to any third party, and we do not use it to train any AI model — ours or anyone else's.
Retention and Deletion of Prompt Review Data
Prompt review data is automatically deleted after 90 days.
In addition:
- If you turn off prompt review in Ari's settings, all of your existing prompt review data is deleted within minutes.
- If you delete your Arrangr account, all of your prompt review data is deleted as part of the account deletion process.
Sensitive Information in AI Prompts
Because your prompts are processed by third-party AI providers (and, if you opt in, reviewable by Arrangr's team), we recommend you avoid including highly sensitive personal information in your messages to Ari — such as financial account details, government ID numbers, health information, or anything else you would not want stored on a third-party server. Ari is designed for scheduling tasks and does not need this kind of information to function.
AI Accuracy and Your Responsibility
AI assistants can make mistakes. Ari may misinterpret a request, choose the wrong meeting type, or generate details that don't match what you intended. Before Ari takes any action that affects your calendar or sends an invitation, you'll see a preview that you must confirm. You are responsible for reviewing what Ari is about to do before approving it. Arrangr is not liable for actions you confirm based on Ari's suggestions.
